Sharing MyGlue Assets

When you create or import new information into MyGlue it is important to change the security settings before publishing so that Magna5 engineers and technicians are able to view and use the information. If you have not viewed Adding and Managing Assets in MyGlue, please take a moment to review.

Note: If you are creating a password, no additional configuration or action is required unless you are placing the password into a folder. If you are creating a folder and placing assets into it, you must also always grant permissions for the folder (anywhere, not just passwords).

MyGlue Documents
1. Open a MyGlue document (not Microsoft Word, Excel, etc.).

2. Click the Security drop-down arrow at the bottom-right of the screen.

3. Check the “Specific groups and/or users can access this Document” box.

4. Click inside the white box next to “MyGlue Groups” and check the “Select All” box.

5. Click inside the white box next to “IT Glue Groups” and check the “Select All” box.

6. Once you have finished making these changes, do not forget to click the “Publish” button at the top of the screen.

Other Assets (Microsoft Word, Excel, Etc.)
1. Check the box next to the asset you would like to adjust permissions for.

2. Click the drop-down next to “Name” and select Security.

3. Check the Add or remove Groups and/or Users box and add the MyGlue users and groups you’d like to have access. You must always add the Magna5 groups under “Add IT Glue Groups”. Click “Save” when finished.
Folders
When creating folders you must always grant Magna5 access in order for our technicians to view documents inside. Even if the documents are shared properly, if the folder they’re contained in is not we will not be able to view them.

1. Check the box next to the folder you would like to adjust permissions for.

2. Click the drop-down next to “Name” and select Security.

3. Check the Add or remove Groups and/or Users box and add the MyGlue users and groups you’d like to have access. You must always add the Magna5 groups under “Add IT Glue Groups”. Click “Save” when finished.
